Privacy policy

This policy describes what personal data we process about you, why, for how long and what rights you have. It covers the jakob.cz website and everything you send us through it.
1. Who is the controller

For enquiries and business communication the controller is JAKOB, s.r.o.
For job applications both companies act as joint controllers under Art. 26 GDPR. The reason is practical: the companies share one site, recruit together and a vacancy may open in either of them. You may exercise your rights with either company; your request will apply to both, so there is no need to contact two addresses.

We have not appointed a data protection officer (DPO) — the law does not require it, as we perform neither large-scale systematic monitoring nor large-scale processing of special categories of data.
3. What data we process and why
3.1 Enquiry and contact form
- Data: name, company name, e-mail, text of the enquiry; technically also IP address and time of submission (protection against form abuse).
- Why: so that we can reply and prepare a quote.
- Legal basis: Art. 6(1)(b) GDPR — steps prior to entering into a contract, at your request.
- How long: for the duration of the negotiations and 3 years after they end (the general limitation period under Section 629 of the Civil Code of the Czech Republic).
3.2 Job application
- Data: name and surname, phone, optionally e-mail, what work you are interested in, possible starting date, note and optionally a CV.
- Why: so that we can discuss employment with you.
- Legal basis: Art. 6(1)(b) GDPR — steps prior to entering into an employment contract. We neither need nor request consent for this purpose.
- How long: for the duration of the recruitment process and 12 months after it ends (legitimate interest in defending against possible claims; you may object to this retention).
We only ask for data directly related to concluding an employment contract, as required by Section 30(2) of the Labour Code of the Czech Republic. We do not ask about your date of birth, Czech personal identification number (rodné číslo), marital status, photograph or current salary.
3.3 Health disadvantage or disability — voluntary
- Data: information that you have a health disadvantage or disability, and its category.
- Why: JAKOB plus s.r.o. is a recognised employer on the Czech protected labour market under Section 78 of the Czech Employment Act, and some positions are reserved for people with disabilities. JAKOB, s.r.o. also has a statutory quota of employees with disabilities under Section 81 of the same act.
- Legal basis: your explicit consent under Art. 9(2)(a) GDPR, given by ticking the box “I would like to tell you that I have a health disadvantage or disability”. If you do not tick the box, we do not collect this information and the additional field remains hidden.
- How long: the same as the application — the recruitment process and 12 months after it.
- We only request documentation if you are offered a position.
You can withdraw the consent at any time at kosatik@jakob.cz. Withdrawal does not affect the lawfulness of processing before it and has no bearing on how your application is assessed.
3.4 Registration with the Labour Office — voluntary
- Why: for some positions we can draw a Labour Office contribution under Section 113 of the Employment Act of the Czech Republic, which is tied to registered jobseekers.
- Legal basis: your consent under Art. 6(1)(a) GDPR.
- How long: the same as the application.
3.5 Keeping your details for future offers — voluntary
If you tick “I consent to my details being kept for future job offers”, we keep your data for 3 years based on your consent (Art. 6(1)(a) GDPR). You may withdraw your consent at any time by emailing kosatik@jakob.cz.
3.6 Commercial communications (newsletter)
- Data: e-mail address, name.
- Legal basis: your consent (Art. 6(1)(a) GDPR), or — if you are our customer — Section 7(3) of Act No. 480/2004 Coll. of the Czech Republic, which allows sending information about our own similar services.
- How long: until consent is withdrawn or you unsubscribe. You can unsubscribe with one click in every message.
4. Who we share data with
We do not sell your data. We only share it with those who process it for us, and only to the necessary extent:
- Google Ireland Limited — company e-mail and documents (Google Workspace)
- Cloudflare, Inc. — website hosting and protection
- Ecomail.cz s.r.o. — sending of commercial communications (delivery is provided by their partner SparkPost)
- Hostinger International Ltd. — an EU server (Germany) running our automation that processes the forms
We may further disclose data to public authorities where the law requires it (for example to the Labour Office in connection with the contribution under 3.4), and to our legal or accounting advisers where necessary to defend our claims.
5. Transfers outside the European Union
Some of the processors listed are US companies or have a US parent. Such transfers rely on the standard contractual clauses approved by the European Commission, or on a European Commission adequacy decision. We will provide a copy of the clauses on request.
6. Cookies, analytics and advertising
This website does not need any tracking cookies to work and loads none without your consent. Fonts and graphics are served from our own server; the Google Maps map loads only after you click on it. The website runs on Cloudflare infrastructure (our processor — see section 4), which every page request technically passes through. Without consent, we only use what is strictly necessary or what tracks no one:
- Cloudflare Turnstile — protects our forms against abuse by bots. It loads only once you start filling in a form and is not used for tracking.
- Anonymous traffic measurement (Cloudflare Web Analytics) — no cookies, no browser fingerprinting, no profiling. We only see aggregate numbers, not individual visitors.
If you give your consent, we may additionally use:
- Analytics — Google Analytics 4 (traffic measurement)
- Marketing tools — Google Ads, Meta pixel, Sklik, LinkedIn Insight Tag
Consent is voluntary, given separately for analytics and marketing, and declining is as easy as accepting. It is valid for 12 months and you can change it at any time via the “Cookie settings” link in the footer. Essential technical cookies, without which the site would not work, are always stored — including the record of your consent choice, so we do not ask again.
7. Your rights
- access — to know what data we process about you and receive a copy
- rectification of inaccurate or incomplete data
- erasure (“right to be forgotten”) where we no longer have a reason to process
- restriction of processing
- portability of data you gave us based on consent or a contract
- objection to processing based on legitimate interest
- withdrawal of consent at any time, where processing is based on it
Write to kosatik@jakob.cz. We will reply within one month; in complex cases we may extend this period by a further two months. We will notify you if an extension is necessary.
8. Complaint to the supervisory authority
If you believe we are mishandling your data, please contact us first — it can usually be resolved quickly. You do, however, have the right to complain directly to the supervisory authority: Office for Personal Data Protection (Úřad pro ochranu osobních údajů), Pplk. 9. Automated decision-making
We do not use your data for automated decision-making or profiling. Enquiries and job applications are handled by people.
10. Changes to this policy
We may update this policy when our processing or the law changes. The current version is always on this page; the date of the last change is shown at the top.
